This week, we’re going to go over a few simple procedures to follow when dealing with incoming phone calls to the site.
These are points that you’re probably already familiar with, but it’s important to remind yourself of them every now and again to make sure that, if a suspicious phone call comes in, you’re prepared to address it correctly.
When anyone calls the site regarding a business or equipment enquiry:
Ask for the name of the caller, the company they are ringing from and the reason for the call.
Even if they say that they are from a company that you are familiar with, please DO NOT give them access to the PC unless you are aware that a job needs to be carried out.
If you are not aware of any jobs, contact the site manager or area manager and ask.
If the caller asks for access to the PC for ‘maintenance’, REFUSE ACCESS IMMEDIATELY. All maintenance of Euro Garages equipment is carried out by authorised engineers and you will be notified of this before it is carried out.
REMEMBER: If in doubt, hang up. If the call is genuine, you can call the company back via their helpdesk number.
Head Office IT already have access to back office PCs, but occasionally we may not be able to access them. If anyone calls saying they are from Head Office IT and need help to access the back office, tell them that you will ring back. Hang up and call 01254 586375 – we will be waiting for your call
